Our Program Manager, Matt, shares insights on how staying organized can help administrators ensure success when managing programs.
In the fast-paced world of international program management, staying organized is the best form of risk mitigation. Program managers juggle multiple projects and deadlines, and have to be ready to deliver when the unexpected happens. Without strong organizational skills, even the most talented professionals can struggle to deliver effective results. Here are some strategies that have helped me stay organized as Program Manager for Lana Learn!
Building Your Organization System
The first step to staying organized is to create a system that works for you. Whether you prefer digital tools or traditional planners, consistency is crucial. Use project management software such as Asana to track tasks, set reminders, and share updates with your team. Staying organized means having a clear overview of all moving parts. Personally, I use a combination of a digital journal and Microsoft Planner to keep track of both my own tasks and our team’s progress. This ensures that I don’t forget details from any meetings, set reasonable timelines for projects, and keep a holistic view of our operations.
Prioritizing Tasks for Maximum Impact
Prioritization is a skill that serves not just yourself, but your whole team. Start each day by reviewing your to-do list and identifying the most urgent tasks. Staying organized involves breaking large projects into smaller, manageable steps. This approach helps you maintain momentum and ensures nothing falls through the cracks. As the adage goes, “How do you eat an elephant? One bite at a time.”
Communication and Collaboration
Staying organized also means keeping communication channels open. Regular check-ins with your team help everyone stay aligned and address issues early. Use shared documents and calendars to keep everyone informed. Organization is not just about personal efficiency—it’s about enabling your team to work together seamlessly. My weekly meetings with our CEO, as well as my weekly meetings with our Supervisory ELT Instructor in Vietnam, ensure that we have full alignment across our education programs.
Reviewing and Improving Your Process
Successful program administrators regularly review their organization systems. Set aside time each week to reflect on what’s working and what needs improvement. Staying organized is an ongoing process, and small adjustments can lead to big breakthroughs. Conducting an analysis of how my week went each Friday has led me to fine tune my approach to solutions and better understand our team’s needs.
Conclusion: Organization Drives Success
Staying organized as a program manager leads to better outcomes, happier teams, and personal growth. By building strong systems, prioritizing tasks, and fostering collaboration, you set yourself up for lasting success.
